Our client employs 3,000 people in the UK and North America, focusing on high integrity sensing, control, communication and display systems with an emphasis on integrated information technology solutions. The company concentrates on obtaining a technological edge in niche markets, with many of its products and technologies being market leaders in their field.

An opportunity has arisen for a facilities manager who will be based primarily at their offices in Greenford, Middlesex, although there is a requirement to travel to offices in Weymouth, Cambridge and Preston.

This is a pivotal position in the business management infrastructure requiring strong leadership, initiative and flexibility.  You will liaise with all departments, and their respective employees as required, on facilities, health and safety issues and concerns.

You will support the head of facilities management in the day-to-day provision of facilities support services, the long term development of the service to the business, the strategic planning for the company, and the management of costs.

The role holds day-to-day responsibility for a number of operations including; the outsourced facilities contracts, including provision at all sites; the advisory management of health and safety across all areas of the businesses (including the organisation of the health and safety policy, strategy and committee); and safety training and support for the business's safety training needs with consultation with HR, plus maintenance support for properties leased to the satellite sites.

The facilities manager acts as advisor to the chair of all safety committees and attends the safety executive committee in an advisory capacity.

To maintain and continuously improve the health and safety system and to provide proactive advice on health and safety matters/initiatives across all sites and to ensure each site meets statutory and legislative requirements.

To deputise for the head of facilities management and coordinate the facilities maintenance contracts and other contracts outside of that remit for all sites.

Key Responsibilities

  • Establish a health and safety system that documents all relevant procedures and processes and which satisfies CAA requirements for health and safety management systems, within the required timescale, and with QA/business improvement team support.
  • Within the scope of the above, produce a health and safety audit schedule that covers all processes.
  • Performing internal health and safety audits to the above schedule and ensuring these are supported.
  • Provide support and assistance to the company's appointed trained assessors for: risk, DSE, COSHH, ergonomics.
  • Maintaining a corrective action system to track any findings identified during internal audits.
  • Producing monthly management report into H&S matters as prescribed, as required.
  • Participate in all executive and representatives safety committees.
  • Work in partnership with HR.
  • Support the training process (in terms of H&S) to include:
    • Identifying training needs, and suitable programmes/providers.
    • Ensuring all management levels are offered appropriate H&S training for themselves & staff.
    • Delivering frequent H&S induction.
    • Resolve issues arising from H&S training/testing.
    • Ensure records of all such training provided are coordinated with HR.
    • Provide suitable short workshops and toolbox talks, to support managers in H&S topic areas.
  • Advising the senior management team and the H&S executive committee of the health and safety needs of the company for statutory compliance purposes.
  • In providing support and assistance to the company's appointed assessors, collate and action output from assessments.
  • Deliver clear advice to management and employees on site.
  • Ensure that any reportable accidents are sent to the HSE as required.
  • Facilitate external assessments e.g. safety gap analysis, fire, insurance.
  • Any other reasonable duties as required by senior management.

Environmental Responsibilities

  • Awareness of environmental issues and legislation - knowledge of managing 14001.
  • Continuous improvement to development of effective environmental policies.

General

  • Be responsive to internal and external customers and aim to meet their needs.
  • There may be additional activities to perform from time to time in order to maximise the contribution to the company's goals and objectives.

You will have the following knowledge, skills and experience:

  • Excellent understanding of health, safety and facilities legislation and best practice.
  • Good communication skills demonstrated both verbally and in writing.
  • Demonstrated experience in building good working relationships and gaining trust and respect with internal and external customers.
  • Self driven and able to monitor own performance effectively to ensure deadlines are met.
  • Ability to continuously challenge, understand and address business issues.
  • Results orientated with attention to detail and on-time completion.
  • Excellent team player.
  • Gives feedback and receives feedback naturally.
  • Process orientated.
  • Capable application of Microsoft Office packages.
  • Technical Member of the Institute of Occupational Safety & Health (Tech IOSH).

It would be desirable for you to have NEBOSH Diploma, Environmental Management (IEMA) and be a Member of The British Institute of Facilities Management (MBIFM).
